How to Book

Clearly state the dates you wish to book and how many people would be staying. We will advise you of any payments required. The deposit is £300 to secure your booking. The remainder of the full amount becomes due 8 weeks before your arrival.
We also require a £300 damage waiver cheque deposit (to be held on file, but not paid in) to cover the unlikely event of any damage/extra cleaning over and above the 6 hours allocated in the rental costs or unacceptable behavior. This should be sent in advance of your stay. The property is available for holiday lettings 140 days in the year, please see our calendar for availability.
Payment - Payment can be made by either a Sterling cheque payable to Ruth White Homes Ltd or by BACS transfer.
Confirmation - On receipt of your payment and booking form we will issue our written confirmation and account for your holiday. It will give you the date by which the balance should reach us, which is 8 weeks prior to commencement of your holiday. For late bookings (made less than 8 weeks prior to commencement) we will need to receive the full payment. Our staff will advise you at the time of booking.

Terms and Conditions - Reservations of accommodation whether made by telephone, fax, email, in person, in writing or from the Internet are accepted by Cotswold Farm Cottages, hereinafter referred to as CFC
1. CONTRACT OF HIRE
The Contract of Hire is not effective until CFC despatch to the Hirer written email confirmation of the booking. We do not accept bookings from Hirers under 18 years of age.
2. INITIAL PAYMENT
Bookings will be confirmed upon receipt by CFC of the required deposit payment. However, if the booking is made within EIGHT weeks of the holiday commencement date, the full accommodation rental will be required.
3. BALANCE PAYMENT
The Balance of the Hire will be due for payment EIGHT weeks before the holiday commencement date. CFC reserves the right to cancel a holiday where full payment has not been received less than 8 weeks before the holiday commencement date. The deposit paid on the booking is non-refundable. Please also read Item 7 Booking Cancellation.
4. BANK TRANSFER/CHEQUE
Payments may be made by BACS (Sort Code 40-17-19, Account Number 41523848) or by cheque (payable to Ruth White Homes Ltd).
5. CONFIRMATION OF BOOKING
Once CFC has issued a 'Confirmation of Booking', either by post or email, the Hirer is responsible for the total published price of the property.
6. BOOKING CANCELLATION
If you are forced to cancel your holiday you must inform CFC immediately. In all cases of cancellation the deposit is forfeited.
7. AMENITIES
The use of accommodation and amenities, where offered, such as trampoline or table tennis. is entirely at the user's risk, and no responsibility can be accepted for injury, or loss or damage to user's or visitor's belongings.
8. PARTY MAKE UP AND NUMBERS
Under NO circumstances may more than the maximum number of persons, as stated in the brochure/website, occupy a property, unless an excess of £50 per person over the stated number is paid in advance. CFC reserves the right to refuse admittance or eject customers if these conditions are not observed. In addition, CFC reserve the right to refuse or revoke any bookings from parties that may in their opinion (and at their sole discretion) be unsuitable for the property concerned. No properties or rooms within properties can, under any circumstances be sublet to a third party or be supplied/used by guests not named at the point of booking. In all instances, CFC reserve the right to refuse bookings if, in their opinion, this condition is violated.
9. RESPONSIBILITIES
The Hirer is responsible for the property and is expected to take all reasonable care of it. All equipment, utensils, etc. must be left clean and correctly replaced to their original location, and the property must be left clean and tidy at the end of the hire period.
CFC cannot be held responsible should utility or electrical items break down during the Hirers stay, however CFC will make every endeavour to replace or repair items as soon as is reasonably possible.
10. DAMAGE/NOISE and BEHAVIOUR
All damages, breakages and moving of furniture are the legal responsibility of the Hirer and the Hirer's party. They must be notified to CFC before the end of the holiday. Their cost(s) shall be refundable on demand. However, minor damage or breakages will not normally be charged but we do reserve the right to charge bad tenants for extra cleaning or not observing the recycling boxes, breakage or damage and may refuse future bookings. Please observe the recycling bins otherwise we will have to charge for sorting out recycling after your stay. For the larger properties a £300 damage waiver will be held on file, until after your stay is finished and will be destroyed, after an inspection by the housekeeping team, is approved.
CFC reserves the right to repossess the Holiday Home at any time, where the Hirer or any member of the Hirer's party has caused damage. CFC shall not be liable to make a refund of any remaining portion of the hire terms paid.
Please note that the property is strictly NON SMOKING within the building(s) associated with your holiday rental booking. If customers or their guests are found to be smoking within the property you may be asked to leave. ). If CFC representatives find guests have ignored this rule, customers will find themselves both legally and financially liable for actions and work required to return the property to its original state.
Guests should please be respectful of our neighbours in all properties and agree to keep noise levels & behaviour to an acceptable level especially when in the garden areas. No unacceptable levels of noise/behaviour should be made in the garden after 11.00pm. Should we receive complaints from neighbours or Police, CFC will retain all or part of the damage waiver deposit in order to compensate offended parties.
11. LITERATURE
Please be aware that if a property is advertised as having an enclosed garden, this does not necessarily mean a secure garden. It may be enclosed by hedging or open style fencing.
12. LEGAL
In the event of any dispute between parties it shall be referred to the jurisdiction of the English courts only and any actions shall be heard in the court for the area in which the property is located. Any disputes arising between you and CFC, if not mutually resolved, can be referred to a single arbitrator agreed, or in the default of such agreement, to the President for the time being of the Law Society or Institute of Arbitrators. In either case, such arbitration would be subject to the provisions of the Arbitration Act of 1996 or any statutory modification thereof for the time being in force. All parties will contribute equally to the cost of Arbitration.
13. FORCE MAJEURE
Except where otherwise expressly stated in these Booking Conditions, we, regret that CFC cannot accept liability or pay any compensation as a result of “force majeure”. In these Terms and Conditions “force majeure” means an event beyond the reasonable control of the CFC could not, even with all due care, foresee or avoid including, but not limited to strike, lock-out, labour dispute, act of God, acts of terrorism, war, riot, civil commotion, malicious damage, compliance with a law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, insolvency or bankruptcy of an CFC, fire, flood, snow and storm, difficulty or increased cost in obtaining workers, goods or transport and other circumstances affecting the supply of goods or services.
14. AVAILABILITY
The Hiring Contract is made on the understanding that the property and its facilities will be available for the dates stated. Without prejudice to the foregoing, in the event that a property is not available or unusable through events arising outside the control of CFC, then CFC may be forced to cancel the booking or offer suitable alternative accommodation. The Hirer will be advised as early as possible. The Hirer will not have any further claims against CFC. No compensation, costs, expenses or other sums (including without limitation the cost of securing alternative accommodation) will be payable in any other such circumstances by CFC.
Please note that reservation requests taken via our website are not confirmed bookings until we have contacted you and accepted a payment.
These Booking Terms and Conditions supersede any previous issues.
